Responsibilities / Duties:

- Manage departments schedule and coordinate all travel-related activities

- Answers incoming calls and determines most efficient manner of handling or dispatching. May involve answering questions, conducting all necessary research for information related to the call or redirecting the caller to another department. Interact with both internal and/or external customers

- Organize conference calls

- Update the organizational charts monthly

- Organize travel and hotel bookings for VP&GM, as well as for departments

- Organize and schedule internal and external meetings - Conference registration

- Write minutes of internal/external meetings – issue action plan

- Communicate and follow-up activities with other departments

- Assist visitors to Shanghai with accommodation, set up office, calendar, events, etc.

Education / Qualifications

- Fluent English for oral and written.

- Tertiary education in applicable discipline.

- Strong Language skills both written and oral in English and Mandarin

Experience

-   Minimum 5-6 yrs in similar role;

-   Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, etc.)

-   Must demonstrate and understand the need for absolute discretion and sensitivity when managing confidential information in both written and oral form
